Verifile uses a bespoke system to collect data in order to process the checks that our client's order. 

Orders placed through this system generate an order number linked to a digital file where the candidate's information will be collected, processed and stored.

Candidate Entry orders require a candidate to log into our specially designed online form to provide the information and consent required to run the checks that have been ordered for them.

This cannot be done using a paper form. 

Client Entry orders, collect the initial information from the client at the point of order, and do not require a candidate to log in to our online form. Orders can only be placed using our system and therefore a paper form is not applicable.

Verifile Authority Form

For certain checks that we offer, we may require candidates to complete a hand signed Authority Form. 

Candidates/Clients must provide authority via the online form in the first instance.

This provides us with suitable coverage to process the checks we have on order. This includes any automatically run checks such as our U.K. Criminal and Credit, for example. As well as checks which do not require the additional authority form. 

In cases where we collaborate with third-party partners, particularly for referencing and background checks involving international authorities, an authority form may need to be hand signed. This requirement is determined by the referencing body, following their own internal processes.

Employment and academic referees often request a hand signed authority form, and some may even require a physical copy to be printed and signed in ink. In addition to adhering to our internal policies, we are obligated to follow the policies and procedures set by the institutions from which references are required. 

Many of our clients now include the authority form as part of their own onboarding process. This integration helps streamline the entire procedure and eliminates the need for later follow-ups with candidates. Consequently, this has significantly improved turnaround times for our clients.
